We collect what the program needs to run, who you are, who you referred, and what we owe you, and nothing else. It lives in our own private systems, we never sell it, and you can ask us what we have or ask us to delete it anytime at club@cobbledworks.com.
To run the program: issue your number, credit your referrals, calculate and send your payments, file the tax forms the law requires, answer your questions, and, only if you opted in, send you program tips and updates.
Applications and referrals are stored in a private spreadsheet in our own Google Workspace account (Google acts as our service provider). It isn't shared publicly or with anyone outside the program's operations. Payment and tax details live with the payment processor and e-signature service we use to pay you.
Only the services it takes to operate: Google (storage), our payment processor (to pay you), our e-signature and tax-filing providers (W-9s and 1099s), and the IRS and state tax agencies where filings are required. We never sell your information, and we don't share it with advertisers.
We'll always send transactional messages, your membership number, referral updates, payment statements. Marketing-style updates only go out if you checked the box, and every one has an unsubscribe. If you gave us your phone number, we may call or text you about your own referrals; if we ever start automated text campaigns, we'll ask for your written consent first, and STOP will always stop them.
Program records for as long as you're a member plus the time it takes to close out payments. Tax records (W-9s, payment ledgers, 1099s) for at least four years, the IRS requires that. Everything else we delete when you ask.
If this notice changes in a way that matters, we'll email members before it takes effect and update the version stamp above.
